Understanding Fields and Structure

How Fields and Structure work in the Directory Console — Fields defines your fields, data sources and permissions; Structure holds your offices, departments and org units.

Written by Greg Bennett

Your directory’s fields and your organizational structure are managed in two separate sections of the Directory Console: Fields for what the fields are, and Structure for the actual offices, departments, and organizational units in them.

The difference between Fields and Structure

  • Fields — defines what fields exist, where their data comes from, and who can edit them. This is where you enable a field, switch it between Microsoft 365 and OneDirectory, and set edit permissions.

  • Structure — where you manage the actual values: your list of offices, your list of departments, and your list of any custom organizational units, including their images and descriptions.

So you create a Division field under Fields, then add your individual divisions under Structure.

Open Fields

  1. In the OneDirectory sidebar (your live employee directory), click Directory Console at the bottom, or click Edit in Console in the top bar.

  2. In the Directory Console sidebar, select Fields.

The Fields page has three sections. Every row shows the field, its Field Type, its Data Source (Microsoft 365 or OneDirectory), and its Coverage — the percentage of profiles that have the field filled in, with the count alongside it.

For what each Field Type means, see Understanding field types.

1. Organizational Structure Fields

Your organizational unit fields: Office (Location Picker), Department (Team Picker), Company, and any custom units you’ve added, which are marked Custom. Add a new one with Add org unit field. See Building your organizational structure. Company is disabled by default — see Showing the Company field.

2. Profile Fields

Every individual profile field, from Display Name and Job Title to Skills, Assistant, and Dotted Line Manager. Fields you’ve added yourself are marked Custom.

3. Disabled Fields

Fields you’ve turned off. They keep their data and can be re-enabled at any time.

Tip: Click any field to open a panel on the right showing its Field Name, Field Type, Data Source, and Edit Permissions, with a toggle to enable or disable it. Switching a field from Microsoft 365 to OneDirectory keeps the existing data.

Who can access these

Fields is Administrator-only. Structure is available to Administrators and Directory Editors.
