How to enable or disable guest accounts

This guide will show you how to enable and disable guest accounts and explain what happens when you do so.

Written by Greg Bennett

Guest accounts are external user profiles OneDirectory identifies from your synced Microsoft 365 data, typically marked with the "EXT" tag or designated as guests in Entra ID.

Open Filtering Rules

  1. Open the Directory Console: click Edit in Console in the top bar next to your profile picture, or Directory Console at the bottom of the OneDirectory sidebar.

  2. In the Directory Console sidebar, select Data Sources, then open the Filtering Rules tab.

Hide or show guest accounts

Find Hide guest accounts. Enabling it hides guest accounts from the directory; disabling it shows them again. Click Save Filtering Rules.

What happens

  • Shown: Guest accounts are visible to all users.

  • Hidden: Hidden from the directory but not removed. You can still see them in Directory Console → People, on the Guests tab.

Showing specific guests anyway

The rule applies to every guest account, but you can override it for specific guests by setting Show in directory to Yes, always show. This is the usual way to handle long-term contractors who should appear alongside employees.

  • One guest: in Directory Console → People, click the row, open Manage, and set Show in directory.

  • Several guests: on the Guests tab, tick the rows you want and use Show in directory in the selection bar. See How to show or hide profiles in bulk.

Note: An override covers only the profiles you set. New guest accounts that arrive with later syncs follow the rule as normal.

Hiding a guest does not block sign-in

This rule controls whether guest accounts appear in the directory. It does not control whether guests can sign in to OneDirectory. Sign-in is a separate setting in Directory Console → Access → Sign-in. See Controlling guest sign-in.
