How to enable or disable service accounts

This guide will show you how to enable and disable service accounts and explain how they are identified.

Written by Greg Bennett

Service accounts are non-human accounts (meeting rooms, departmental mailboxes, and similar). OneDirectory can identify and hide them automatically.

Open Filtering Rules

  1. Open the Directory Console: click Edit in Console in the top bar next to your profile picture, or Directory Console at the bottom of the OneDirectory sidebar.

  2. In the Directory Console sidebar, select Data Sources, then open the Filtering Rules tab.

Hide or show service accounts

Find Hide service accounts. Enabling it hides them; disabling it shows them. Click Save Filtering Rules.

How they're identified

OneDirectory uses a built-in module based on criteria such as special characters (slashes or numbers) or keywords (like "boardroom" or "accounts payable").

What happens

  • Enabled: Service accounts are hidden from the directory but remain in the system. You can still see them in Directory Console → People, on the Service Accounts tab.

  • Disabled: Service accounts are visible to all users.

Keeping specific accounts visible anyway

The rule applies to every account it matches, but you can override it for specific profiles by setting Show in directory to Yes, always show:

  • One account: in Directory Console → People, click the row, open Manage, and set Show in directory.

  • Several accounts: on the Service Accounts tab, tick the rows you want and use Show in directory in the selection bar. See How to show or hide profiles in bulk.

If real people keep being detected as service accounts, the better fix is to correct the record's type. See How to change a profile type.

Note: An override covers only the profiles you set. New service accounts that arrive with later syncs follow the rule as normal.
