Hidden accounts suddenly started appearing

Service accounts, guests or other hidden accounts showing up in the directory when nothing changed on your side.

Written by Greg Bennett

If accounts that used to be hidden are now showing in your directory, work through these in order.

1. Check your filtering rules first

Go to Directory Console → Data Sources → Filtering Rules. Confirm Hide guest accounts and Hide service accounts are still switched on, and that your domain list is intact. If you change anything, click Save Filtering Rules. Only Administrators can see this page.

2. Check whether new accounts arrived with the last sync

A rule only hides the accounts it matches. New accounts named in a way our detection does not recognize will come through as people, even with the service account rule switched on. The Directory Console Overview shows what the last sync brought in, and the Profiles card shows how many accounts are hidden by rules versus hidden manually.

3. Check for individual overrides

Anyone with Directory Console access can set profiles to Yes, always show, one at a time or in bulk, and that beats your filtering rules. In Directory Console → People, use the Visible filter in the toolbar to narrow the list, then click a row and check Show in directory on the Manage tab. See How to hide or show a specific person.

4. Check the profile type

If a service account has been classified as a person, no service account rule will touch it. Correct the type in Directory Console → People. See How to change a profile type.

Still wrong?

If your rules are on, nothing has changed on your side, and the accounts are still showing, contact OneDirectory Support with your directory name and two or three example accounts. Directory visibility should not change on its own. We will look at it as a fault rather than a settings question.

Note: To hide the affected accounts right away while this is being investigated, tick them in Directory Console → People and set Show in directory to No, always hide for all of them at once. See How to show or hide profiles in bulk. Once the cause is fixed, you can set them back to Automatic the same way.
