How to change a profile type (person, guest, or service account)

Correct a record that has been detected as the wrong type — set it to Person, Guest, or Service Account in Directory Console → People.

Written by Greg Bennett

OneDirectory detects whether each record is a person, a guest, or a service account from your Microsoft 365 data on every sync. Detection is usually right, but if a record has been classified wrongly, for example a meeting room detected as a person or a real employee detected as a service account, you can set the type yourself.

Change a profile type

  1. In your live directory, click Edit in Console in the top bar, next to your profile picture.

  2. In the Directory Console sidebar, select People.

  3. Find the record. Use the People, Guests, and Service Accounts tabs to look under the type it’s currently classified as.

  4. Click the record’s row. A panel opens on the right.

  5. Open the Manage tab.

  6. Under Profile type, clear the Set automatically checkbox. The dropdown becomes editable.

  7. Choose the correct type from the dropdown: Person, Guest, or Service Account.

The record moves to the matching tab in the People list, and your directory treats it as that type from then on.

Automatic versus manual

  • Set automatically on — the type is detected from Microsoft Entra on each sync. This is the default.

  • Set automatically off — you set the type, and it stays as you set it. Use this when detection keeps getting a particular record wrong.

To go back to automatic detection, tick Set automatically again.

Note: Profile type decides which filtering rules apply to a record. If your rules hide guests or service accounts, changing a record’s type will change whether it appears in the directory. To keep a specific record visible regardless of the rules, set Show in directory to Yes, always show on the same tab. The Edit in Console button is available to Administrators and Directory Editors.
