How to show or hide profiles in bulk

Select as many profiles as you like in Directory Console → People and set Show in directory for all of them at once.

Written by Greg Bennett

You can change whether profiles appear in the directory for as many people as you like at once, in Directory Console → People. You don't need to open each person one at a time.

Who can do this: Administrators and Directory Editors.

Show or hide several profiles

  1. Open the Directory Console: click Edit in Console in the top bar, or Directory Console at the bottom of the OneDirectory sidebar.

  2. In the Directory Console sidebar, open People, then choose Synced Profiles or Managed Profiles. In Synced Profiles, pick the People, Guests or Service Accounts tab.

  3. Narrow the list if you need to, using the toolbar above the grid:

    • Search by name to find specific people.

    • All, Visible or Hidden to show only profiles in that state.

  4. Tick the checkbox at the start of each row you want. To select every profile in the list, tick the checkbox in the header row.

  5. A bar appears above the grid showing how many profiles are selected. Click Show in directory.

  6. Choose an option:

    • Automatic: visibility follows your filtering rules.

    • Yes, always show: always shown, even if a filtering rule would hide them.

    • No, always hide: hidden from the directory and org chart.

  7. Click Apply to (the button shows the number of profiles you selected).

To start again, click Clear in the selection bar.

Good to know

  • Your selection survives a search. Search, tick what you need, search again and keep adding to the same selection.

  • Switching tabs clears your selection. Apply your change before moving between People, Guests and Service Accounts.

  • Bulk changes behave exactly like single ones. Your filtering rules are re-applied to each profile, just as they would be if you changed it on its own.

  • Hiding doesn't delete anyone. Hidden profiles stay in the Console and can be shown again the same way.

When a filtering rule is the better choice

Bulk visibility changes only the profiles you select today. If the accounts you want gone are a whole type that will keep arriving with each sync, a filtering rule handles new ones automatically:
