Filtering Rules let Administrators control which accounts appear in the directory. They live in Directory Console → Data Sources → Filtering Rules.
Open Filtering Rules
Open the Directory Console: click Edit in Console in the top bar next to your profile picture, or Directory Console at the bottom of the OneDirectory sidebar.
In the Directory Console sidebar, select Data Sources, then open the Filtering Rules tab.
The available rules
Hide Guest Accounts: excludes guest/external accounts. See How to enable or disable guest accounts.
Hide Service Accounts: excludes service accounts. See How to enable or disable service accounts.
Include Specific Domains Only: show only accounts from listed email domains. See How to create domain-specific filtering rules.
Click Save Filtering Rules to immediately update your directory.
Those three are the complete set. There is no rule for hiding accounts by role, by administrative account, by security group, by department, or by an Entra ID attribute. See Can I filter by security group or attribute?
Overriding a rule for specific people
Rules apply to every account they match, but you can override the result for specific profiles by setting Show in directory to Yes, always show or No, always hide. Either setting beats the rules for those profiles.
One person: in Directory Console → People, click the person's row, open Manage, and set Show in directory.
Several people: tick their rows in the People list and use Show in directory in the selection bar. See How to show or hide profiles in bulk.
Overrides only cover the profiles you set. If a whole type of account keeps arriving with each sync, adjust the rule instead so new accounts are handled automatically.
Note: Only Administrators can access Filtering Rules. Custom rules beyond these three aren't supported in-app, but we can often apply a custom filter to your tenant. Contact OneDirectory Support with the group you want filtered. |
